Annual budget planning and financial oversight

We look after the association’s overall finances: the annual budget, collection of owners’ contributions and clear reports to the board. Budgets and service plans are adjusted continuously based on operating data, changes in legislation and a long-term maintenance plan.

Rules for owners’ associations

What the standard articles say about managers and general meetings

Unless your association has adopted its own rules, the standard articles for owners’ associations apply (in Danish: normalvedtægten). These are the points boards ask us about most.

  • The general meeting decides by simple majority whether the association should appoint a property manager for day-to-day operations (§ 18).
  • The manager may be neither an owner in the association nor its auditor (§ 18(2)).
  • The ordinary general meeting is held every year, no later than six months after the end of the financial year, with at least four and no more than eight weeks’ notice (§ 9).
  • The agenda must include the audited annual accounts, the maintenance plan and the budget, among other items (§ 9).
  • Communication with owners may be digital, for example by email (§ 17). According to the official guidance, holding the general meeting itself online requires a provision in the association’s own articles.
  • The board must still check that owners pay their contributions, even when a manager handles collection (§ 16).

Does an owners’ association need a property manager?

No, it is not a requirement. Under the standard articles, the general meeting decides by simple majority whether the association should appoint a manager for day-to-day operations. If the board has no manager, it appoints a treasurer. A manager takes budgets, collection and follow-up off the volunteers’ hands, while the board stays in charge.

What does a property manager do for an owners’ association?

Can the general meeting be held online?

Yes, if your articles allow it. The standard articles assume that general meetings are held in person, so a fully online general meeting requires a provision in the association’s own articles. Notices, accounts and minutes can always be sent digitally. We prepare and run the whole process, from notice to minutes, so the meeting is efficient and correct.

How do we switch property manager?

You can switch without any trouble. We review your current agreements and handle the handover from your previous manager in a proper, professional way, so the building’s operations and finances carry on without disruption. There are normally no extra fees from our side to start the handover.

What is the risk of managing the association yourselves?

The biggest risk is unexpected and costly consequences of legal mistakes, neglected maintenance or disorganised finances. That can lead to conflicts between owners and large bills for the association. With proactive maintenance and sound budgeting, we prevent costly repairs and protect the long-term value of the property.

Do you own a flat in the building yourself?

If you want to rent it out, we can handle that too. Choose long-term rental with screened tenants or Airbnb management within the rules, and see what your home can earn. If you have several units, the service scales with the same processes and the same reporting.
